Privacy Policy
Last updated: October 24, 2026
1. Introduction
Welcome to Avenly. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website (regardless of where you visit it from) and tell you about your privacy rights and how the law protects you.
2. The Data We Collect
We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
- Identity Data includes first name, last name, username or similar identifier.
- Contact Data includes email address and telephone number.
- Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website.
- Usage Data includes information about how you use our website, products and services.
3. How We Use Your Data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- Where we need to perform the contract we are about to enter into or have entered into with you.
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
- Where we need to comply with a legal obligation.
We use Google Gemini, a service provided by Google, to process content you choose to submit when you use certain features: guest-list text you import into an event, and floor-plan images you upload so we can detect tables. Google processes this content to return the result to us. Under Google's terms for the paid Gemini API, Google does not use it to improve its products, and it may keep it for a limited time to detect abuse.
We may publish combined, anonymised usage figures, such as the total number of RSVPs collected across all events. These never identify a guest, host or event.
4. Analytics
We use the following analytics services to understand how Avenly is used and to improve it:
- Vercel Web Analytics and Speed Insights on all pages, to measure aggregate page visits and page performance. These do not use cookies.
- PostHog (hosted in the European Union). On our home page it records anonymous visits and which buttons are clicked (sign-up buttons, the guest invite and photo wall demos, and the WhatsApp contact button), plus where on the page people click and move the mouse (a heatmap), without cookies and without recording names or anything you type. When you are signed in as an event organiser, we record which features you use (for example creating or publishing an event, or which buttons you click) and may record sessions of the organiser workspace to find usability problems. In these recordings form inputs and your event's content are masked and images are not captured, so your guests' details are not recorded. You are identified by an internal account ID, not by your name, email address or phone number.
We do not use PostHog on pages your guests visit (invitations, galleries, photo walls and shared schedules). To ask us to delete your analytics data, contact [email protected].
5. How Long We Keep Data
We keep your account and event data while your account is active. Photos and videos uploaded to an event's gallery or photo wall are kept as follows:
- On events with Event Premium, and events covered by Pro, they are kept until you delete them.
- On free events, gallery files are deleted 12 months after the gallery goes offline, and photo-wall files are deleted 12 months after the event date. Sections 7 and 8 of our Terms of Service explain when this happens and how we warn you first.
Deleted files can't be recovered. To ask us to delete other data, contact [email protected].
6. Data Security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know.
